Notify a compliance lead about every Confluence approval in a space

To keep a compliance lead or manager informed of every approval decision in a Confluence space, a space administrator adds them on the Watchers tab of Space Approval Settings. Watchers hear about outcomes in that space without being asked to review anything. You can name up to 50 people per space.

#Before you start

You need

Why

Space administrator permission

Watchers are a space setting.

Watchers who can read the pages

A watcher who cannot read a page gets nothing about it.

#Steps

  1. In the space, open Space settings, then Capable (Capable Approval if you use the standalone app), to reach Space Approval Settings.

  2. Select the Watchers tab.

  3. Use Add users to add each person who should hear about outcomes.

  4. Save your changes.

#What happens next

  • Watchers hear about approval outcomes in the space, never about a request being raised.

  • They get them on every channel they have switched on: email, Slack and Microsoft Teams.

  • Watcher emails use the same wording as the requester's copy, so they can read as though the watcher asked. Worth telling them.

  • For a whole team, a Slack channel can follow the space instead. See Post Confluence approval updates to a Slack channel.

The right people know, without sitting in every review.
