Frequently asked questions

Short answers to the questions people ask most about Capable Approval for Confluence. For things that look broken, see Common questions.

#Does editing a page reset its approval?

Yes. When a page is edited, the approval restarts on the new version with the same reviewers and thresholds, so a signature never outlives the content it was given for. See How approvals work.

#Do all reviewers have to approve?

Not unless you want them to. Set Minimum approvers in the approval options to ask five people and need only two of them. See Request an approval.

#Can I approve Confluence pages from Microsoft Teams or Slack?

Yes. Once an administrator connects Teams or Slack and turns on approval actions, requests arrive with Approve and Reject buttons. Buttons are not offered in spaces that require an authenticator code. See Respond to Confluence approvals from Microsoft Teams.

#Who can connect Microsoft Teams?

A Confluence site administrator who is also a Microsoft 365 Global Administrator or Teams Administrator, or the two sitting together. Personal Microsoft accounts cannot be linked. See Set up Microsoft Teams notifications for Confluence approvals.

#Can every new page in a space need approval automatically?

Yes. Turn on Page creation on the Automation tab of Space Approval Settings and choose a default team. Page update brings existing pages in as they are edited. See Require approval for every new page in a Confluence space.

#Can approvals expire so pages are reviewed again?

Yes. Set an expiry per page, per team or for a whole space. When it lapses, the reviewers are reset and notified. For a team approval, the team's current members are asked. See Review Confluence pages on a schedule.

#Can I require an electronic signature?

Yes. Turn on Require 2FA to approve for a space, and every response there needs a six-digit code from an authenticator app. Signed responses show a padlock in the history. See Require an authenticator code to approve Confluence pages.

#Can I prove which version of a page was approved?

Yes. The approval history is grouped by page version, and each row links to the exact version the response applied to. See See who approved a Confluence page and which version.

#Can blog posts be approved?

You can approve a blog post by hand, but automatic approvals and the automatic reset on edit apply to pages only. See Known limitations.

#Is there a Capable action in Confluence Automation?

Not today. Automatic approvals are driven by the Automation tab in Space Approval Settings. See Automatic approvals.

#Somebody says they never got a notification. Why?

Usually they cannot read the page, they switched that channel off, or their Confluence email does not match their Slack or Microsoft 365 email. See Common questions.

#We use the standalone Capable Approval app. Can we move to Capable for Confluence?

Yes. A site administrator freezes and exports approvals, loads the file, migrates the macros and imports. Status, approvers, comments, history, teams and settings all come across. See Migrate from standalone Capable Approval to Capable for Confluence.

#Can we migrate from AppFox Approvals for Confluence?

Yes. The Migration Assistant brings AppFox page approvals across with their status, approvers, history, quorum and expiry, without changing page content. Section approvals and the status macro are not converted. See Migrate from AppFox Approvals to Capable Approval in Confluence.

#What happens to a team approval when people join or leave the team?

When the approval expires or the page is edited, Capable reads the team's current members. New members get a request and people who have left are not asked. See Teams and assignment.
