Microsoft Teams notifications
Microsoft Teams support is coming soon.
If your organisation works in Microsoft Teams, approval requests can land there instead of sitting in an inbox. A site administrator connects Teams once, and every approver then gets direct messages from the Capable app about the approvals they are part of.
Only Approval sends Teams messages. Nobody uploads or installs anything in Teams by hand.
#What people get
Feature | Who sets it up |
|---|---|
Direct messages when you are asked to approve, and when something you raised is decided | Automatic once Microsoft Teams is connected |
Approve and Reject buttons on the message | A site administrator turns on Microsoft Teams approval actions |
Your own on or off switch | Each person, for themselves |
#Connecting it
Connecting takes a Confluence site administrator who is also a Microsoft 365 Global Administrator or Teams Administrator. If those are two different people, do this step together.
Open Global settings and go to the Notifications tab. You can get there from Confluence administration, from Global settings under Manage in the Approval sidebar, or from Manage notifications in your Capable settings. On the Microsoft Teams card, turn on the connect switch. Microsoft shows one consent screen for your whole organisation, then asks you to sign in. Back in Confluence, the card shows Connected and your organisation's name.
While you connect, Capable adds its app to your organisation's Teams app catalogue. Nobody has to install it by hand.
Connected Microsoft Teams before 21 October 2026? Turn the connect switch off, then on again. Earlier connections did not ask for the permissions Capable now uses to reach approvers by itself.
On the same card, turn on Microsoft Teams approval actions if you want approvers to answer from Teams. It is off until you turn it on. Without it, approvers still get messages and answer on the page.
#How approvers are reached
The first time an approval goes to somebody, Capable finds them in Microsoft 365 by their Confluence email address, adds the Capable app for them and sends the message. It usually arrives within a minute. After that, messages land in their chat with Capable.
Approvers get the same events they would get by email. See What sends notifications.
#Switches and who owns them
Switch | Where | What it does |
|---|---|---|
Microsoft Teams (your own) | Capable settings, Notifications section, or Send me Microsoft Teams notifications on Approval's Notifications page | Turns Teams messages on or off for you only. Says Applies once your admin connects Microsoft Teams until the site is connected |
Microsoft Teams integration | Global settings, Notifications tab, Microsoft Teams card | Turns Teams messages off for everyone on the site, whatever their own switch says |
Microsoft Teams approval actions | Same card | Adds Approve and Reject buttons to request messages. Off by default |
#A few things that catch people out
Teams finds people by matching their Confluence email to their Microsoft 365 account. If the two addresses differ, no Teams message is sent, and nothing says so.
One Microsoft 365 organisation per Confluence site. Disconnecting turns Teams off for everybody, after a browser confirmation.
Approval buttons are not offered in spaces that require a sign-off code, because a Teams button cannot collect the code.
Your Teams switch, like your email and Slack switches, applies to this app installation only.
The full detail, including every message the card can show, is in the Approval documentation: Microsoft Teams.
