Staging changes in Confluence

The Bulk Publishing feature is designed to streamline the process of syncing changes between different spaces within your organisation.

This is particularly useful for managing content between a restricted drafts space and a public space that is accessible to all employees or even to the public through anonymous access.

Use Case

Imagine you have a drafts space where content is created and reviewed. This space is restricted to certain users, ensuring that only a select group can view and edit the content. Once the content is finalised, you may want to publish it to a public space that is available to all employees or to everyone online. The Bulk Publishing feature allows you to stage these changes and publish them all at once, ensuring a smooth transition from draft to public.

Features

  • Controlled Publishing: Publish multiple changes in a single action, maintaining control over what gets released.

  • Staging Changes: Prepare and review changes before making them public.

  • Ease of Use: Simplifies the process of updating content across different spaces.

How to Use Bulk Publishing

Step 1: Prepare Your Drafts

  1. Navigate to your drafts space.

  2. Create or edit the content that you wish to publish.

  3. Ensure that all changes are finalised and ready for review.

Step 2: Stage Your Changes

  1. Once your content is ready, select the items you wish to publish.

  2. Use the staging feature to prepare these items for bulk publishing. This allows you to review what will be published.

Step 3: Review Staged Changes

  1. Go to the staging area where you can see all the changes you’ve prepared.

  2. Review the content to ensure accuracy and completeness.

  3. Make any necessary adjustments before proceeding to publish.

Step 4: Publish Changes

  1. After reviewing, select the option to publish all staged changes.

  2. Confirm your action. This will publish all selected items to the designated public space.

  3. You will receive a notification confirming that the changes have been successfully published.

Step 5: Verify Published Content

  1. Navigate to the public space to ensure that all changes are reflected.

  2. Check that the content is accessible to the intended audience.

Best Practices

  • Regularly review your drafts space to keep content updated.

  • Use the staging feature to avoid accidental publishing of incomplete or incorrect content.

  • Communicate with your team about scheduled publishing times to ensure everyone is informed.
