🧭 What is Refined for Confluence?

Refined Sites for Confluence is a powerful tool that turns your Confluence content into beautifully styled websites for documentation, knowledge bases, wikis, and intranets.

With Capable + Refined, you can:

  • Draft, review, and publish content without copy-pasting.

  • Automate approvals and publishing steps.

  • Keep internal and external content clearly structured and compliant.

🔁 Draft-to-Live Workflow Overview

  1. Create in Draft Spaces
Draft new content in dedicated draft spaces such as “Brushes Draft” or “Marketing Draft.”

  2. Use Capable for Approvals
Assign approvers, review content, and maintain accountability with approval logs.

  3. Publish via Capable
Once approved, pages are published to the public-facing “Publish Space” — which Refined renders into your live website.

  4. Sync with Refined Site
Published pages automatically appear in your Refined site under the appropriate section.

🛠 Setting Up Refined Sites

  1. Install the Refined App from the Atlassian Marketplace.

  2. Go to the Refined Dashboard and create a new site.

  3. Customize your site using templates.

  4. Link Confluence spaces (like “Brushes,” “Pens,” etc.) to Refined site sections.

✍️ Writing & Publishing Content

  • Create articles in your draft space.

  • Use tools like ChatGPT for faster content generation.

  • Review content in context within Confluence.

  • Use Capable’s Publishing button (not Confluence’s native publish) to push content live.

🔄 Managing Multiple Draft Spaces

You can route content from multiple draft spaces (e.g., Technical Writers, Marketing Teams) into a single publish space:

  • Go to Space Settings → Capable → Publishing

  • Enable publishing and set the shared target space (e.g., “Brushes”).

This allows different teams to contribute without stepping on each other’s toes.

✅ Using Capable Approvals

Capable’s Approvals module allows for:

  • Manual and automated approvals

  • Notifications via Slack and Email

  • Assigning multiple approvers

  • Setting minimum approvals or rejections

  • Approval expiration dates for recurring review cycles

Once approved, pages can be automatically published.

⚙️ Automation Tips

  • Auto-send approval requests when a new page is created.

  • Auto-publish a page as soon as it’s approved.

  • Combine these for a seamless draft-to-live flow.

🔧 Managing Outdated Content

Capable tracks desyncs between draft and published versions:

  • Desync icon appears if the draft or publish space version has changed.

  • Easily republish to update the live version.

  • View history, changes, and approver comments at a glance.

🔍 Search & Filter on Refined

  • Label your published pages (e.g., marketing, how-to, product-update).

  • Use Refined’s CQL-based filters to show labeled pages dynamically.

  • Save these searches and embed them into the Refined site homepage or any section.

📊 Publishing Dashboard

Track content lifecycle from a single dashboard:

  • Recently published

  • Outdated pages

  • Failed publications

  • Page status & version history

Great for content leads or admins managing the knowledge base.
